What to Book First: Priority Order for Wedding Vendors

Planning a wedding is an incredibly exciting season of life… congrats to you! Through all the excitement, you’re still left with actually having to plan the big day. Like most couples, the most time-consuming (and often stressful) task is finding and booking your wedding vendors.


But before you start to worry – there is a method to the madness of booking your vendors. In this guide, we’ll walk through the key factors that influence booking order: your planning timeline, budget priorities, vendor demand, and flexibility.

If you just want a clear starting point, here’s a reliable general order most couples can follow:


  1. Venue

  2. Planner / Coordinator (optional)

  3. Catering / Bar (if not included with venue)

  4. Photographer

  5. Videographer

  6. Entertainment (Band or DJ)

  7. Rentals & Design

  8. Hair & Makeup

  9. Florist

  10. Cake / Desserts

  11. Stationery & Details vendors

How Timeline Impacts Booking Order


Now that the excitement of your engagement has fully sunk in, it’s time to start considering your timeline. You’re not alone if this feels incredibly overwhelming! Creating a planning timeline and selecting your actual wedding date is the catalyst for the entire process.


When deciding your timeline, you’re ultimately considering the length of your engagement. Are there big life events planned that might lengthen your engagement? Or maybe you’re eager to seal the deal sooner rather than later. Whatever the case, the length of time you have to plan will determine your booking order.



But why? It all comes down to availability, pricing, and decision bottlenecks. Decision bottlenecks happen when certain vendors must be booked before others.. For example – a DJ is pointless without a dance floor! Securing your venue is generally best to prioritize first.


With vendor pricing, think about current and future-year rates. For most vendors, early booking means locking in better pricing. It will also gives you a better chance of booking the vendors you want. Availability – especially for highly sought-after vendors like photography and videography – is heavily impacted by how far in advance you book.


Generally speaking, if your engagement is over a year, then you’ll have more flexibility and potentially more vendor availability. If you’re planning under a year, it’s time to start pinning down those vendors quickly!

Plan Your Budget Before Booking


Let’s face it – planning a wedding is a big expense. Regardless of your budget, you want to do right by what you’ve determined. When it comes to booking vendors, how you allocate your budget will drive your booking order.


It’s helpful to consider high-impact budget categories or vendors with less pricing flexibility first – often catering, venue upgrades, planners, or creative professionals whose availability is limited. That doesn’t necessarily mean comprising your budget, but rather approaching it strategically.


Splurging early may actually prevent compromises later. By booking your wedding videographer early, you won’t feel pressure to squeeze them in afterward – they’re already accounted for in your overall spend. Yay! And man, if you have the money please do yourself a big favor and hire a certified wedding planner. Some of my very best wedding films and days were because the wedding planner was ON IT. They made everyone feel comfortable and took care of all the little things before the wedding and day of.


High Demand = High Priority


To make things even easier, the first vendors you want to secure are the ones most critical to your day. The big three are usually food, photo/video, and music. After all, your guests are coming to eat, dance, and celebrate this monumental moment with you!


Booking those high-demand vendors should be your first priority. All weddings need them to create the best experience for guests and to preserve memories forever.


But don’t forget – vendor type matters. Highly specialized talent such as a live band or videographer may book faster than a DJ or photographer. At the start of my career, I was always a last minute hire and the last to get hired. It’s been an honor to be considered a non-negotiable over the last few years getting booked as the first vendor by some of our incredible couples.


Because you’re scouting top talent, you should also consider seasonal demand. Peak wedding season (typically June - October) fills quickly, so the time of year plays a major role in availability and selection.

Why Being Flexible Helps The Process


The best thing you can do throughout the wedding planning process is stay flexible. Many variables can come into play, such as planning a destination wedding or working within limited local vendor options. Flexibility allows you to find different ways to achieve your desired result. Consider whether your preferred vendor travels or if your venue provides a recommended vendor list for the area.


What happens if your preferred vendor is unavailable? Nobody likes hearing this! BUT - one of the best ways to find hidden talent is through vendor referral networks. Creative vendors, such as music or photo/video professionals, can help you filter alternatives based on style alignment. Chances are, if you love one vendor’s work, you may also love someone they trust in their network. Some vendors may have what is called a “Trusted Vendors List” that they send out shortly after booking, or if a vendor doesn’t have your date available, they will send other recommendations in their line of field .


At the end of the day, booking order isn’t about strict rules – it’s about reducing stress and protecting what matters most to you. When you prioritize vendors who shape the experience, impact your timeline, and have limited availability, planning becomes much more manageable and a whole lot more exciting!
