Why I Run a 3-Location Backup System — And Why Your Business Should Too

A few weeks ago, my working project drive failed.


Not a scare. Not a warning sign I ignored. It just failed. Mid-project, mid-edit, mid-week — the drive that housed my active work simply stopped working.


For a lot of videographers, that is a nightmare scenario. A potential conversation with a client about missing footage, damaged timelines, or worse. But for us, it was a few hours of inconvenience. We replaced the drive, restored from backup, and were back to editing the same day.


No footage lost. No project delayed. No panicked phone call.


That outcome was not luck. It was the result of a backup system we have built deliberately and one that every business working with valuable digital assets should understand.

The 3-2-1 Rule: The Framework Behind Every Serious Backup System


The 3-2-1 rule is the foundation of professional data protection. It is simple enough to remember, and rigorous enough to actually work:


  • 3 copies of your data — your working copy, plus two backups

  • 2 different types of storage media — so a single hardware failure cannot wipe out everything

  • 1 copy stored off-site or in the cloud — so a physical disaster (fire, theft, flood) cannot eliminate all copies


The logic is straightforward: redundancy only protects you if your backups are independent. A backup sitting on the same desk as your primary drive is not really a backup — it is just a second copy of something that can fail in the same moment.


What Our System Actually Looks Like


Here is how we apply the 3-2-1 rule in practice at HBZ Media:


Location 1: The Working Project Drive


This is the active drive — where footage is ingested, where the editing project file lives, and where all day-to-day work happens. It is fast, accessible, and optimized for performance.

It is also the most likely to fail. Working drives take the most punishment. They spin constantly, they get moved, and they are accessed hundreds of times a day during a heavy edit. This is the drive that failed on us recently — and because of what sat behind it, it was a non-event.


Location 2: The NAS (Network Attached Storage) — Local Redundancy


A NAS is essentially a private server that lives in your office or studio. At its most basic, it is a box that holds multiple hard drives configured so that if one drive fails, the data is automatically preserved on the others — a setup called RAID (Redundant Array of Independent Disks).


We back up our project files and all raw footage to our NAS daily. It is always current. It is always on the same network. And because it runs RAID, a single drive failure inside the NAS itself does not result in data loss.


For businesses that work with large files — video, photography, design, architecture, engineering — a NAS is one of the highest-value infrastructure investments you can make. Brands like Synology, QNAP, and UGREEN offer solid prosumer options starting around $300-500 for the enclosure, with drives added separately.

Location 3: Cloud Backup — Off-Site Redundancy


The NAS handles local redundancy, but it lives in one building. A fire, a flood, or a break-in could eliminate both the working drive and the NAS at the same time. Cloud backup is what protects against that scenario.


For video production — where file sizes are enormous — we use solutions designed for high-volume storage rather than consumer sync tools. Options worth evaluating depending on your use case:


  1. Backblaze B2: extremely affordable object storage (around $6/TB/month), excellent for large media archives

  2. Amazon S3 / Glacier: robust enterprise-grade storage; Glacier is designed for cold archival at very low cost

  3. Google Drive / Dropbox Business: fine for documents and smaller assets; less practical for raw video at scale


The key is that cloud backup should be automatic and continuous, not something you remember to do on Fridays. Set it, configure it, and let it run. The goal is that if your building burned down tonight, you could walk into a new space tomorrow with everything intact.


What This Means for Your Business — Not Just Ours


We are a video production company. Our raw files are massive and our footage is irreplaceable. But the principle applies across every industry that relies on digital assets:


  1. What would it cost your business if you lost a week of work today?

  2. Do you know where your most critical files live — and how many copies exist right now?

  3. If your laptop was stolen tomorrow, how long would recovery take?


If any of those questions make you uncomfortable, that discomfort is the data point you need. A backup system is not a technical project, it is a business decision. The cost of building one is a fraction of what recovery costs if you need it and do not have it.

What This Means When You Hire a Video Partner


When you commission a brand video, you are investing in an asset that should work for your business for years. That investment deserves a production partner with a system built to protect it.


Ask your videographer the same questions you should be asking yourself: Where does the footage live during editing? What is your backup protocol? What happens if something goes wrong mid-project?


A drive failure in our studio a few weeks ago was a minor interruption. Not a few hours, not a catastrophe. That is what a real system looks like.


The Bottom Line


Hard drives fail. It is not a matter of if — it is a matter of when. The 3-2-1 rule is not a precaution for the paranoid. A 3 location backup system is the standard for anyone who takes their work seriously enough to protect it.


Working drive. NAS. Cloud. Three locations, two media types, one off-site copy. Build the system once. Let it run. And the next time something fails — and something will fail — it will just be a few hours, not a disaster.
